Privacy policy
This policy explains what personal data Rachna collects, why, who we share it with, and the choices and rights you have.
Who we are
Rachna is a service operated by PRERNA LIMITED, a company registered in England and Wales (company number 17458597). In this policy, "we", "us" and "our" mean PRERNA LIMITED. We are the controller of the personal data described here, under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
For anything about this policy or your data, contact us at info@rachna.co.uk.
The data we collect
When you create and use an account
- Your email address, your name, your business name and, if you give it, a phone number.
- Your password, which we store only as a one-way hash — we cannot read it.
- Your plan, its start and renewal dates, and your settings, such as which listings Rachna manages and the pricing rules you set.
- A record of important actions on your account — for example price changes, listing approvals, plan changes and connecting or disconnecting Amazon — including the IP address and browser details of the request.
When you connect your Amazon seller account
- Your Amazon seller ID and marketplace.
- An authorisation token that lets Rachna act on your behalf through Amazon's Selling Partner API. We store it encrypted. We never see or store your Amazon password.
- Your listing data: product titles, bullet points, descriptions, search terms, brand, category, images, prices and listing status.
- Competing offer prices and buy box information for your products.
Rachna does not request access to Amazon customers' personal information, such as buyers' names or delivery addresses, and does not process it.
When you pay
Payments are handled by Stripe. Your card details go directly to Stripe and are never stored by us. We keep the Stripe customer and subscription references we need to manage your plan.
When you contact us
We keep the emails you send us and our replies, so we can help you and refer back to them.
When you visit this website
This website does not use analytics or advertising cookies. Like most websites, our hosting provider may record basic technical information, such as IP addresses, in server logs to keep the service secure and running. See our cookies page.
How we use it, and our lawful basis
| What we do | Lawful basis |
|---|---|
| Provide Rachna: run your account, sync your listings, generate listing suggestions, adjust prices within your rules, and send you service notifications | Performance of our contract with you |
| Take payment and manage your subscription | Performance of our contract with you |
| Keep an audit record of account actions, prevent misuse and keep the service secure | Our legitimate interests in running a safe, reliable service and resolving disputes |
| Answer your questions and support requests | Our legitimate interests, or our contract with you if you are a customer |
| Keep financial and tax records | Legal obligation |
We do not sell your data, and we do not use it for advertising.
Who we share it with
We share personal data only with service providers who help us run Rachna, and only what they need:
- Amazon — we exchange data with Amazon through the Selling Partner API to read your listings and prices and to make the changes you approve or allow.
- Stripe — to take payments and manage subscriptions.
- Anthropic — the content of listings you ask Prakasha to optimise is sent to Anthropic's AI service to generate suggestions. We send listing content, not your account details.
- Sentry — to find and fix errors in our website and app. When something goes wrong we send technical details, such as what failed, on which page, your browser type and your Rachna account ID. We remove email addresses, passwords and other personal details first, and the data is stored in the EU.
- Hosting and infrastructure providers — who store and run our systems on our behalf.
We may also disclose data if the law requires it, or to protect our rights, our users or the public.
International transfers
Some of our providers, including Stripe and Anthropic, process data in the United States. Where personal data is transferred outside the UK, we rely on UK adequacy regulations or on safeguards approved under UK law, such as the International Data Transfer Addendum to the EU Standard Contractual Clauses.
How long we keep it
- Account and listing data: for as long as your account is open.
- Competitor price snapshots: 90 days.
- If you disconnect Amazon, we delete the authorisation token straight away. Listing data already imported stays in your account until you delete it or close your account.
- When you close your account, we cancel your subscription, delete your Amazon authorisation token and stop using your data for the service straight away.
- 30 days after you close your account, we delete your listings, listing suggestions, pricing rules and history, competitor data and notifications, and we anonymise your account details. If you closed your account by mistake, contact us within those 30 days.
- We keep billing records for six years, as required for tax purposes. We keep a record of actions on the account for as long as we may need it to resolve disputes, with IP addresses, browser details and contact details removed.
How we protect it
We use encrypted connections, store Amazon authorisation tokens encrypted, hash passwords, and limit access to personal data to the people and systems that need it.
Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal data we hold about you;
- ask us to correct data that is wrong or incomplete;
- ask us to delete your data;
- object to, or ask us to restrict, how we use your data;
- ask for data you gave us in a portable format.
To use any of these rights, email info@rachna.co.uk. We will reply within one month. Some rights have limits — for example, we may need to keep billing records even if you ask us to delete them.
If you are unhappy with how we have handled your data, please tell us first so we can try to put it right. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk.
Changes to this policy
We will update this page if the way we handle data changes, and change the date at the top. If a change affects you significantly, we will tell you by email or in the app.
